Healthcare professionals are seeking creative ways to get patients back into their office for preventative care and life saving screenings. We at DRS, provide these professionals with a creative personal and friendly opportunity to reach out and open the line of communication with their patients and schedule appointments.

Internists/ Family Practice

Physicians realize the value of establishing good communication with patients. Unfortunately, the communication is usually reactive, in response to messages, lab results, and to answer questions that arise from appointments. Recently, practices have begun to acknowledge the importance of connecting with patients proactively to provide effective care to their entire population of patients, not just current ones.

Manual efforts, such as sending postcards, generate less than 10% response rate, and it is difficult to track. Emerging technology, such as automated messaging, yield a higher success rate, but leave out the personal touch: the ability to build goodwill, update insurance, cleanse data, and actually schedule an appointment. Also, to maintain HIPAA compliance, automated telephone, e-mails, and text messaging cannot disclose private health information, so disease management calls are non-specific. To close this gap in communication, our schedulers are HIPAA trained and certified, and relay to the patient why they are being contacted.

DRS reaches out to patients that need Preventative Care, Chronic Disease Management, Ancillary Services and Seasonal Care. A recent case study involving patients, over the age of 40, who had not been in for a physical in the past 12 months, netted cumulative revenue of $17,125.00 over a six month period. With a total of 7455 patients dialed, the cost of the plan came in at $1.45 per patient dialed. One, out of four patients scheduled had a date last seen of 2006.

OB/GYN's

Physicians are committed to high standards on providing personal care, and promoting a healthy lifestyle to their patients. To achieve this goal they must establish good communication with their patients. One obstacle to achieving this goal is the investment of staff resources required to manage a successful patient outreach program. The utilization of staff who should be performing other duties.

Manual efforts, such as sending postcards, generate less that 10% response rate, and are hard to track. Emerging technology, such as automated messaging, yield a higher success rate, but leave out the human touch: the ability to build good will, verify insurance, update records, and actually schedule the appointment.

The greatest single reason for the occurrence of cervical cancer is not having a Pap smear, according to recommended guidelines. The majority of women diagnosed with cervical cancer have not had a Pap smear in five or more years. Sadly, these women are usually at an advanced stage of cancer when they receive diagnosis. We prevent these critical outcomes by getting your patients back into your office. DRS has over a 40% success rate at scheduling well women exams, and for those we don’t schedule, we document if they have moved, changed insurance companies, are uninsured at the moment, or have changed physicians.

Only 52% of eligible Texas women received a mammogram as recommended, 10% below the national average. (CDC Behavioral Risk Factor Surveillance Survey). DRS scheduled 800 mammograms in 2008, with an increase in revenue for our clients at over $90,000. We can also schedule patients for bone density scans.

Dentists

Our goal, at DRS, is to bring patients that are lagging in treatment back into your office. These patients generate considerable revenue, beyond their initial activation appointment, thus creating the opportunity for you to practice Productive Dentistry.

DRS has proven to increase retention with hygiene patients that was not possible before. Your patient receives personal, friendly contact that is a direct outreach of your office, with your office and telephone number programmed on the caller id.

A recent case study, provided by one of our clients, tracked appointments we scheduled over a three month period. Initial appointment revenue was over $11,000, with follow up revenue exceeding $35,000, and the client enjoyed a gross increase in revenue at almost $47,000.

Vets

Is the weak economy affecting your clinic? Are pet owners putting off annual exams, vaccines, valuable testing? What are you doing to get your patients back into your office? Manual efforts, such as sending postcards, generate less than 10% response rate, and it is difficult to track. Emerging technology, such as automated messaging, yield a higher success rate, but leave out the personal touch: the ability to build goodwill, cleanse data, and actually schedule an appointment.

DRS reaches out to Pet Owners, to help schedule those appointments that are getting delayed in today’s weak economy. If the owner is unable to schedule due to the cost of the exam, we can relay to them specials you are running, a payment plan, or any other type of assistance the clinic may be offering. In addition to scheduling annual pet wellness checks, we can schedule necessary senior pet tests, as well: - Comprehensive Medical Exam – Complete Blood Count – Serum Biochemical Profile.

RADIOLOGY

The Centers for Disease Control and Prevention Behavioral Risk Factor Surveillance Survey indicates that only 52% of eligible Texas women received a mammogram as recommended, almost 10% below the national average.

DRS has put together a MAMMOGRAPHY OUTREACH PROGRAM. We offer a friendly, personal approach to get women back into the office. Last year, we called 17,000 patients, and booked almost 800 Mammograms for a local, multi-specialty clinic. The cost per patient dialed came out to $1.83, which is much more cost effective when comparing to staff time, cost of postcards, and postage. Plus, we offer measurable results that direct mail cannot offer. We have had great success in tapping internal databases and reaching out to patients that have fallen off the radar.

We can also book MRI’s for Rheumatology patients, bone density scan’s, and any other radiological exam that should be scheduled on an annual basis.

DERMATOLOGY

The key to skin cancer prevention is early detection, education, and treatment. The problem is getting patients back into your office on a regular basis. Half of all new cancers in the United States are skin cancers, and about 1.3 million new cases will be diagnosed in the coming year. (TMA Physician Oncology Education Program) The lifetime risk of developing skin cancer in the Sunbelt is 1 in 3. Texas ranks third in the nation for incidence of malignant melanoma.

DRS offers pro-active patient outreach, with live personalized telephone calls. We speak with your patients, when they are at home, between the hours of 4-8 pm. We call as an extension of your office to build goodwill, increase revenue, cleanse your database, and save lives by scheduling skin cancer screening appointments.

OPHTHALMOLOGY

Because of the value of sight, it is important that physicians offer a pro-active patient outreach program to establish good communication with their patients.

The complications of diabetes associated with blindness, and early detection can prevent loss of sight, which may be irreversible. People with a family history of eye diseases such as glaucoma, macular degeneration, and corneal diseases should also see their doctor more frequently as they age. We all as an extension of your office, to get patients back into your office, and prevent critical outcome.

You have nothing to lose and lost revenue to GAIN!

Patient Outreach

Using e-mail, automated phone messages and text messaging has actually driven many customers away. Go back to the personal touch and talk to your customers, building a strong relationship.

Our DRS System offers a turnkey, proven service for increasing revenue, while improving patient care by proactively contacting lagging patients to schedule services. We reach out to patients with personal live calls, who have not been seen in your office for at least 12 months, and have fallen off your radar.

Our Patient Recall program has been shown to reliably bring inactive or “lagging” patients—those “overdue” for a visit—back to the office. Because of our success at scheduling appointments that would otherwise never hit the books, our Patient Recall acts as a powerful agent to improve your operations through:

Increased revenue, offsetting losses from lower reimbursements Greater chances for detecting serious health conditions early on More preventive care for increased patient wellness
“Scrubbed” (and more marketable) patient information database Maximized personnel ROI (filling salaried NP schedules, for example) Better patient relations and retention through increased contact

DRS generates revenue, prevents critical outcome, and presents physicians with a monthly measurable marketing report. This report tracks trends, Return on Investment, and gives a line by line reflection of every call made. We provide a measurable marketing program that delivers superior value over direct mail, radio, or TV Ads.
